Cookie Policy

1. PURPOSE AND SCOPE
This Cookie Policy explains how Imperial Premium Rent a Car LLC (the “Company”, “we”, “us” or “our”) uses cookies and similar technologies on www.imperial-rac.com, including any mobile version of that website (together, the “Website”). Capitalised terms not defined in this Cookie Policy have the meanings given in the Privacy Policy, except that terms concerning a Booking, Agreement, Vehicle or rental have the meanings given in the Rental Terms and Conditions.
It explains what these technologies are, why they are used, the categories that may operate, how a visitor can make or change choices, and how information generated through them is handled.
This Cookie Policy should be read with the Company’s Privacy Policy, which explains how the Company processes Personal Data more generally, and the Website Terms of Use, which govern use of the Website. The Rental Terms and Conditions separately govern a Booking, rental Agreement, Vehicle and related services.
2. COMPANY AND CONTACT DETAILS
The Website is operated by:
Imperial Premium Rent a Car LLC
P.O. Box 236833, Dubai, UAE
Email: [email protected]
Website: www.imperial-rac.com
For the processing described in this Cookie Policy, the Company is the Controller except where a third-party provider independently determines the purposes and means of its processing.
3. WHAT COOKIES AND SIMILAR TECHNOLOGIES ARE
A cookie is a small text file placed on or read from a browser or device when a person visits a website. Cookies may recognise a browser or device, remember information or choices, maintain a session, support security and measure how a website or advertisement is used.
The Website may also use technologies that perform a similar function, including pixels, tags, software development kits, scripts, local storage, device or advertising identifiers, server logs and tracking links. References to “cookies” in this Cookie Policy include those similar technologies where the context permits.
Cookies do not necessarily identify a person by name. Information such as an IP address, cookie identifier, device identifier, browsing activity or advertising identifier is nevertheless Personal Data where it relates or can reasonably be linked to an identifiable person.
4. FIRST-PARTY AND THIRD-PARTY COOKIES
First-party cookies are set by or for the Website under the Company’s domain. They may support core Website functions, security, preferences, consent records and measurement.
Third-party cookies are set or accessed by an independent provider whose technology is integrated with the Website, such as an analytics, advertising, video, map, social-media, communications, security or payment provider. That provider may process information under its own privacy notice and terms and may act as an independent Controller for some purposes.
The presence of a third-party name in a cookie notice or consent tool does not mean that the Company controls all processing performed independently by that provider.
5. SESSION AND PERSISTENT COOKIES
A session cookie ordinarily expires when the browser session ends. It may be used to maintain navigation, a form, security state or other temporary function.
A persistent cookie remains until its stated expiry, until it is replaced or until the visitor deletes it. It may be used to remember preferences, record consent, recognise returning use, measure performance or support advertising.
The duration of a particular cookie is shown, where practicable, in the Website’s consent-management tool or cookie details. A provider may change a cookie name or duration when its service is updated. The current information displayed by the Website’s consent tool forms the operational cookie register and should be read with this Policy.
6. CATEGORIES OF COOKIES WE MAY USE
The cookies that operate for a visitor depend on the Website functions used, the visitor’s choices, the device and browser, and the availability and configuration of third-party services.
6.1 Strictly necessary cookies
These cookies are required for the Website or a service expressly requested by the visitor to function. They may be used to:
(a) transmit communications and load Website pages;
(b) maintain security, prevent abuse, balance traffic and protect forms;
(c) remember privacy and cookie choices;
(d) maintain a session or preserve information while a visitor moves between pages;
(e) support an enquiry, quotation or booking-request form; and
(f) provide a function without which the requested Website service cannot reasonably operate.
A cookie is not treated as strictly necessary merely because it is necessary for a provider’s advertising or analytics business. Strictly necessary cookies operate without optional cookie consent only to the extent permitted by Applicable Law. Blocking them through browser settings may cause the Website or a requested function not to work properly.
6.2 Functional cookies
These cookies remember optional choices and provide enhanced functions, such as language, region, display preferences, remembered form settings, communications tools, maps or media.
Where Applicable Law requires consent for a functional cookie, it will not be activated until the required consent is given. Refusing it may disable the enhanced function without preventing access to core Website information.
6.3 Analytics and performance cookies
These cookies help measure Website visits, traffic sources, page performance, searches, navigation, errors, engagement, enquiries and the effectiveness of Website improvements. Information may include an IP address, device and browser information, approximate location derived from an IP address, referral source, pages viewed, events, session information and identifiers.
Analytics may be configured to reduce identification where reasonably available, but pseudonymised information remains Personal Data where it can be linked to a person. Analytics cookies are used subject to required consent.
6.4 Advertising and measurement cookies
These cookies and pixels may help the Company and advertising providers measure campaigns, attribute an enquiry or Booking, limit repeated advertising, create audiences, show advertising based on interactions and detect invalid or fraudulent traffic.
An advertising provider may associate Website activity with information it holds from another service or device under its own terms and privacy notice. The Company does not obtain access to the provider’s entire account record merely because its technology is used on the Website.
Advertising cookies are optional and are used only subject to any consent required by Applicable Law. Refusing them does not prevent a person from enquiring about or renting a Vehicle, but advertising may be less relevant and campaign attribution may be limited.
6.5 Embedded content and social-media cookies
The Website may include a map, video, social-media feature, messaging button, share function or other embedded or linked content. The relevant third party may receive technical information when its content loads or when the visitor activates it, including where the visitor has an account with that third party.
Where an embedded function can be prevented from loading until a choice is made and Applicable Law requires consent, the Website will seek that consent. A simple external link may transfer the visitor to the third party when selected without placing a third-party cookie on the Website itself.
7. TECHNOLOGIES AND PROVIDERS
Depending on the Website’s current configuration and the visitor’s choices, the Website may use technologies supplied by or connected with:
(a) the Website’s content-management, booking, hosting, content-delivery, cybersecurity and performance providers, including WordPress, WooCommerce and Cloudflare services where enabled;
(b) Google services, which may include Google Tag Manager, Google Analytics, Google Ads, Maps, reCAPTCHA, embedded media or related measurement and security functions where enabled;
(c) Meta services, which may include Meta Pixel and links or integrations connected with Facebook or Instagram where enabled;
(d) Yandex Metrica or another analytics service where enabled;
(e) X and other social-media or media services where enabled; and
(f) WhatsApp, Telegram and other communications links or integrations selected by the visitor.
This list identifies services that may be integrated; it does not state that every service operates on every page or for every visitor. The Website’s current consent tool and cookie details show the categories and providers enabled in the live configuration. A service that is removed from the live Website will cease to be treated as active even if a historical reference remains in an older copy of this Policy.
Optional analytics or advertising tags are not treated as strictly necessary merely because they are deployed through a tag-management service.
8. PURPOSES OF COOKIE PROCESSING
Information collected through cookies may be processed to:
(a) deliver Website pages and requested functions;
(b) maintain security, detect abuse, prevent fraud and diagnose technical faults;
(c) remember consent and preference choices;
(d) understand use, performance, navigation and demand;
(e) improve Website content, usability, search and Vehicle presentation;
(f) measure and attribute enquiries, Booking requests and campaigns;
(g) provide and measure advertising where permitted; and
(h) establish, exercise or defend legal rights and comply with Applicable Law.
Cookie-derived information may be combined with an enquiry or Booking record where a lawful ground applies and the connection is reasonably necessary for attribution, fraud prevention, service administration or another purpose disclosed in the Privacy Policy.
9. CONSENT AND LAWFUL GROUNDS
When a visitor first uses the Website, the Website may present a consent tool allowing the visitor to accept or reject categories of optional cookies. Optional cookies will be activated only after the required consent has been obtained. A refusal must be as accessible as acceptance where Applicable Law requires it.
Strictly necessary cookies may operate without optional consent where they are required to provide a service expressly requested by the visitor, transmit a communication, maintain security, record the visitor’s choice or otherwise operate on a lawful ground permitted by Applicable Law.
Where Personal Data is processed through cookies, the lawful ground depends on the purpose and the UAE Data Protection Law. Consent is used where it is required for the optional technology. The Company does not rely on a general assertion of its own “legitimate interests” as a substitute for a lawful ground where UAE law does not recognise it as an independent ground for the processing concerned.
Consent to cookies is separate from acceptance of the Website Terms of Use, a Booking or a rental Agreement. Refusing an optional cookie does not prevent access to core Website information or a rental service that does not require that cookie.
10. HOW TO MANAGE OR WITHDRAW COOKIE CHOICES
A visitor may use the Cookie Settings or equivalent control made available on the Website to review and change choices. Withdrawing consent is effective for future optional cookie use and does not make earlier processing unlawful.
When consent is withdrawn, the Website will stop activating the relevant optional cookies through its own configuration as required. A cookie already stored on the device may remain until it expires or is deleted, and information previously transferred to an independent provider may be retained by that provider under its own lawful retention rules.
The visitor may also delete or block cookies through browser or device settings. Instructions differ by browser and device. Blocking all cookies may prevent forms, preferences, security tools or other Website functions from operating correctly.
Choices may need to be set again if the visitor deletes cookies, uses another browser or device, changes browser profile, uses private browsing, or if the consent tool is materially changed.
11. BROWSER SIGNALS AND PLATFORM CONTROLS
Some browsers or devices transmit “Do Not Track”, Global Privacy Control or similar signals. These signals do not have a single universally applicable technical or legal meaning in every jurisdiction.
The Website will respond to a legally binding signal where Applicable Law requires it and the Website is technically able to recognise the signal. Otherwise, the visitor should use the Website’s Cookie Settings and the controls provided by the relevant browser, device, advertising provider or platform.
Opting out through an advertising provider may record the choice through another cookie. Deleting that cookie may also delete the opt-out record.
12. INFORMATION SHARING
Cookie-derived information may be shared with Website hosting, cybersecurity, content-delivery, technical-support, analytics, advertising, social-media, communications and professional service providers to the extent reasonably necessary for the purposes described in this Policy.
The Company may also disclose relevant information to a bank, payment provider, insurer, court, police, RTA, other Competent Authority or another recipient where a lawful request, legal obligation, security incident, fraud investigation, claim, chargeback or legal proceeding makes the disclosure necessary or permitted. The Privacy Policy gives fuller information about authority and payment-dispute disclosures.
Some providers process information only for the Company’s authorised purposes. Others, including major digital platforms, may independently determine aspects of their processing. Their own notices explain those activities and available account or advertising controls.
The Company does not sell passport, Emirates ID, driving-licence, payment-card, precise Vehicle-location, health, Accident or claims data through cookies. Optional advertising technologies concern online and device information and do not authorise access to the Company’s complete operational rental records.
13. INTERNATIONAL TRANSFERS
A cookie or third-party technology may cause information to be processed in a country outside the UAE, including where a provider, server, support team or group company is located abroad.
Where the Company is responsible for an international transfer, it will use a transfer mechanism, contractual safeguard or other measure meeting Applicable Law, as further explained in the Privacy Policy. An independent provider may make its own transfers under its own legal responsibilities and privacy notice.
The visitor should consider the privacy notice of an optional third-party provider before consenting to that provider’s cookie category.
14. RETENTION
Cookies remain for the session or persistent period indicated in the Website’s current consent tool or cookie details, unless deleted earlier. The Company will not intentionally configure a cookie to remain longer than reasonably necessary for its stated purpose.
Information obtained through a cookie may be retained separately from the cookie itself for the period reasonably necessary for analytics, consent evidence, security, fraud prevention, attribution, accounting, claims or legal compliance, in accordance with the Privacy Policy and Applicable Law.
Consent and withdrawal records may be retained after the related cookie expires where reasonably necessary to demonstrate the visitor’s choice and compliance.
15. SECURITY
The Company applies reasonable technical and organisational measures appropriate to the nature of the information and the risks of Website processing. These may include access controls, security monitoring, encryption in transit where appropriate, provider controls and retention restrictions.
No browser, internet transmission or third-party system can be guaranteed completely secure. Visitors should keep their browser and device updated, use appropriate device security and avoid using untrusted links or networks for sensitive communications.
16. CHANGES TO THIS COOKIE POLICY
The Company may update this Cookie Policy to reflect a change in the Website, technology, provider, consent configuration, business operation or Applicable Law. The current version will be published on the Website with its effective date.
If a change materially expands optional cookie processing for which consent is required, the Company will request fresh consent where required rather than treating an earlier consent as unlimited.
The live consent tool should be treated as the current operational record of active cookie categories, providers and durations. This Policy explains the governing principles and may be updated when a material configuration change occurs.
